Permit to Work Management FAQs

Welcome to the Permiti Help Center! Here you’ll find answers to frequently asked questions and guidance to help you get the most out of Permiti – the Permit to Work (PTW) management app. 

 

What is Permiti? 

Permiti is a subscription-based app designed to streamline the creation, notification, and tracking of Permit to Work (PTW) documents. It helps teams manage workplace safety and compliance with an easy-to-use digital system.


Who is Permiti for? 

Permiti is ideal for: 

  • Construction, Engineering and Fire Safety Companies  
  • Building Owner and Property Management Companies
  • Facility & plant managers 
  • Safety officers, Compliance teams and Facilities Management 
  • Any organization requiring formal work permits for high-risk tasks 


How do I open a Permiti account?

Follow these steps:

  • Sign up. Go to www.permiti.com.au and click Sign up to create a new user account. Add your email address.
  • Verify your account. Click on the email verification link sent by Permiti to verify your email address. 
  • Complete your profile. Sign in using your newly verified email address and complete your Profile in Profile Settings and Company details in Company settings. Do this before starting a permit.
  • Access your Dashboard, create a Permit and add your Organisations!


 How do I create a new permit? 

  1. Log in to your Permiti dashboard. 
  2. Click “Start Permit.” 
  3. Fill in the required details including work type, location, time, involved personnel and safety measures. 
  4. Exit and select notifications to begin the approval workflow. 

Can I customize permit templates? 

Yes! You can create and save custom permit templates tailored to your organisation's procedures and compliance requirements. 

How are permits tracked? 

All permits are automatically tracked with status updates such as: 

  • Pending
  • Approved 
  • Live
  • Expired
  • Closed
    You’ll also see logs of actions and notifications in the permit history. 


 How does notification work? 

Permiti sends real-time email and in-app notifications to all relevant users when: 

  • A permit is submitted for approval 
  • A permit is approved or rejected 
  • A permit is due to expire soon 
  • A permit has been completed
  • A comment or update is made 

 

Reminder types and timing

  • Going Live in 24 hours — sent when Work Start is 24:00 to 23:45 away.
  • Going Live in 1 hour — sent when Work Start is 1:00 to 0:45 away.
  • Expiring in 24 hours — sent when Work End is 24:00 to 23:45 away.
  • Expiring in 1 hour — sent when Work End is 1:00 to 0:45 away.


Permit status requirements

  • Going Live reminders (24h + 1h) are sent only when the permit is Approved, using the permit’s Work Start Date/Time.
  • Expiring reminders (24h + 1h) are sent only when the permit is Live, using the permit’s Work End Date/Time.

Recipients

  • Reminder emails go only to users assigned to the permit (from the permit’s assignments).


 

How do I add users to my organization? 

Go to Team > Add New User and assign roles such as: 

  • Read-only
  • Permits creation
  • Template Management
  • Team Management
  • Company Settings Management
  • Organisations Management 

 What roles are available and what can they do? 

  • Read only: Can view permits but cannot edit or approve 
  • Creator: Can create and submit permits 
  • Admin: Full access including user and template management


 

What subscription plans are available? 

We offer: 

  • Basic – For small teams (upto 10 seats) 
  • Pro – For growing teams (for up to 25 seats) 
  • Enterprise – Custom pricing, custom features and dedicated support 

How do I upgrade or change my plan? 

Visit Sign up > Plans to manage your subscription and see available plans. 

What happens if I cancel my subscription? 

Your data remains private and safe, but access to permits and features will be limited to read-only. 


 

Is my data secure? 

Yes. Permiti uses end-to-end encryption, role-based access control and secure cloud storage to keep your data protected. 

Is Permiti compliant with industry standards? 

Permiti has a strict Information Security Management System (ISMS) in place to reduce our exposure to cyber threats and protect our Users data and access at all times.


 I’m not receiving notifications. What should I do? 

  • Check your spam/junk folder 
  • Make sure notifications are enabled in Settings > Notifications 
  • Confirm your email is correct in your profile 

The app is not loading correctly. 

  • Refresh the page or restart the app 
  • Check your internet connection 
  • Clear your browser/app cache
